Understanding User Permissions

User permissions control what tasks users can perform and which features they can access. As such, permissions are important for protecting sensitive data and creating a secure environment. This topic describes the four categories of users in the ParishSOFT system and the access and permissions associated with each.

User Categories, Access Rights, and Permissions

ParishSOFT is a multi-user system with four distinct categories of users:

       Church user

       Staff user

       Organization administrator

       Higher-level organization administrator

ParishSOFT implements permissions that apply to each class to control access and to determine which actions users are allowed to perform.

Church User

Church users have limited access to their own records, which is provided through the secure My Own Church personal portal. After logging in, church users have the right to review and amend certain information in their Family Details and Member Details profiles (for example, addresses and phone numbers) to keep it accurate and up to date. Users in this group can also add a record for a new family member, view their own personal giving history, upload family and member photos to their record, and check ministry schedules for themselves and other family members. If their church enables the Pictorial Directory feature, they are allowed to browse the directory to view profiles of other church members. Church users have the ability to view their sacrament data but they cannot change it.

Sacrament Permissions: a Special Case

The right to view, add, or edit sacrament records presents a special case with its permission levels. Your ability to add or edit sacrament records is controlled by the following:

       Sacrament permissions (applies to editing only)

The higher-level organization globally assigns sacrament permissions (in the Administration module) to each of the organizations it oversees. Therefore, you can modify sacrament records only if the organization in which you reside is granted sacrament permissions.

       Product license key

The organization in which the you reside must have an active product license key for the Family Directory module to add or make changes to sacrament records.

       Staff permissions

You must have the appropriate permissions (Family Directory > Add/Edit) tied to your login credentials to add or make changes to a sacrament record.
